The Tahoe Truckee Community Foundation is a local philanthropic and community-based organization in Truckee, California. Our mission is to bring together trusted partners to align strategies and inspire philanthropy to nurture a resilient community and environment.

Our team is seeking a highly-motivated professional with extraordinary organizational and communication skills to serve as the Project Coordinator for our programmatic work. This role will provide direct support to family strengthening and housing initiatives. Both programs deliver high-impact to our community, representing innovation in project design, productivity, and support for deep relationships within our networks of partners.

Our ideal candidate has prior work experience in project or program coordination, is organized across all work platforms, has excellent communication, is emotionally intelligent, and can work independently and with teams of all levels of professionals.

Duties include:

  • Data collection, data management and reporting
  • Other duties as assigned

A minimum of 3-7 years work experience, preferably with administrative responsibilities. Spanish speaking candidates will be given preference.

As a Community Foundation, we take pride in our commitment to community building through trusted partnerships, which necessitates a certain level of in-person engagement. While hybrid flexibility is possible, there is an expectation of being on-site during orientation, training and development sessions, staff in-service days, as well as in-person programmatic and strategy meetings. This position is non-exempt and full-time, requiring 40 hours per week. Salary range is  $60,000-$65,000 based on experience, plus benefits. Spanish speaking candidates are encouraged to apply.

Job Description:

Program Coordinator 40 hours per week:

TTCF’s Program Coordinator will focus their extraordinary organizational talents in supporting two of TTCF’s most impactful community initiatives – Family Strengthening and Housing. This individual reports to the Program Director and will ensure that both programs are seamlessly, coordinated and documented. They will develop annual work-plans, coordinate meetings, develop agenda and minutes, develop stakeholder communications and reporting. In addition to directly supporting these programs, the Program Coordinator will be asked to do general programmatic support across any of TTCF’s programs. This position is a direct link to the community partners, enabling the work to keep moving forward.

Job Responsibilities:

Administrative and communications support:

  • Support of administrative functions
    • Prepare and review documents
    • Schedule meetings, managing attendance, creating agendas, and taking minutes
    • Prepare annual reports
  • Maintain Community Collaborative Tahoe Truckee (CCTT) Membership materials
    • Annually update the CCTT partner list, including contact information
    • Manage partner MOU renewals and maintaining accurate and appropriate records on file
  • Produce and distribute internal and external communications
    • Produce bi-weekly bulletin to include agency, coalition and partner updates and announcements and maintain distribution list.
    • Gather information on relevant meetings, research and stories that can be shared for a multi-prong communication strategy.

Event coordination and meeting management:

  • Manage all aspects of effective meetings
    • Coordinate speakers and meeting room logistics (virtual or in person); send timely meeting announcements, agendas and minutes and any additional follow up for:
      • Monthly Resource Sharing meetings
      • Monthly Steering Committee meetings
      • Monthly Housing Funders Network meetings
      • Bimonthly First 5 partner meetings
      • Quarterly CCTT Leadership Council meetings
      • Ad-hoc CCTT Meetings as they arise
      • Coalition partner trainings and ad-hoc meetings as they arise
    • Plan and design presentation slides for all meetings.
    • Post meeting summaries and recordings to the TTCF website when applicable.
  • Support outreach and calendar efforts for TTCF programs

Relationship management with community partners:

  • Collect nominations and biographies and create press release for Annual CCTT Awards
  • Facilitate CCTT voting items via email or at Leadership Council or Steering Committee meetings.
  • Represent TTCF at community meetings as requested

Data collection, data management, and reporting:

  • Manage Reporting Processes
  • Enter all meeting participant demographic data in database
  • Produce semi-yearly data reports
  • Collect and record Community Report Card Data
    • Collect education, health and economic well being data and enter into an on-line report card system.
    • Collect data for regional collective impact efforts, including Tahoe Truckee Reads, Mental Health Initiative and Youth Health Initiative
  • Upload documents and data for archiving and tracking program
  • Support programmatic reports including grant reports

Other Duties:

  • Support capacity needs of senior staff members as requested
