Program Associate – The Sierra Fund

Nevada City, California

The Sierra Fund (TSF) is seeking a Program Associate to support the program staff with program reporting, project management, and program administration. The position manages invoicing, reporting and record keeping systems for government and private foundation grants. They support tracking and management of project budgets. They also coordinate program meetings and other partnership meetings, including scheduling, agenda development, logistics, and meeting notes.

The Sierra Fund is a small nonprofit organization whose mission is to restore ecosystem and community resiliency in the Sierra Nevada. Salary and Benefits: $60,000-65,000 This is a full-time, exempt position; eligible for health insurance, sick/vacation accrual, paid holidays, and retirement contribution. TSF’s normal business hours are Monday through Friday, 9:00 am to 5:00 p.m. Occasional evening and weekend work may be required as job duties demand.

Location: This position is desired to be based in the Nevada City, CA office, although working remotely or some mix of in-office/remote may be considered.

Summary of Duties:

Program Grant Management Assistance

  • Prepare, coordinate team processes, and submit grant invoices to meet grant requirements and support program management.
  • Draft and coordinate team processes for submitting reports for state and federal grants, private foundation grants, and fee for service/contracts.
  • Maintain accurate and timely program record keeping to support grant reporting and program coordination.
  • Track grant and other project budgets to support program staff management and reporting.
  • Track grant deliverables and timelines to support staff in fulfillment.

Program Assistance and Project Coordination

  • Manage program meetings and other partnership meetings, including scheduling, agenda development, logistics, and meeting notes.
  • Support Network meeting and other program events as assigned (such as Technical Advisory Committees, Cal PBR Network), including agenda development, participant recruitment, logistics support, materials development and distributions, speaker coordination, and note taking.
  • Support program staff to organize tours, meetings, and presentations.
  • Enter and maintain records for program staff in TSF’s contact database (CRM) for partner organizations and individuals.
  • Support social media community media communications strategy on program activities to increase public awareness of TSF’s projects and issues.
  • Help create outreach materials for community engagement such as factsheets, reports, memos, webpages, emails, and social media.
