Finance & Operations Coordinator – Outward Bound California

Position Description:
If you enjoy working behind the scenes with numbers and systems, but also thrive in a mission-minded organization and work community, then our Finance & Operations Coordinator role might be perfect for you. The Finance & Operations Coordinator reports to the Senior Manager of Finance and works closely with program and administrative leadership to support operations responsibilities and build organizational infrastructure and capacity for growth. We are looking for an individual with a strong accounting, finance, or bookkeeping background who can step in and drive our monthly accounting processes, while at the same time identifying areas for improvement and implementing efficiencies.
Compensation & Schedule:
This is a Full-Time, non-exempt, hourly position with a starting pay range of $24 – $26/hr, depending on experience.

Location:
This is a remote position from CA (preferred) or approved state (UT, WA, OR) with permission. Staff need to be available for occasional travel to San Francisco and/or Midpines, California.

At Outward Bound California (OBCA) we use challenging outdoor experiences to teach social-emotional skills like teamwork, leadership, confidence, and compassion. We offer a wide range of programs, including high/low ropes activities at our San Francisco Challenge Course and multi-day rock climbing/backpacking trips in the High Sierra and Joshua Tree. Our programs encourage our participants (ages 12+, including adults and veterans) to embrace challenges and reflect on how they want to contribute to their communities and the world.

Knowledge & Skills:

Education & Work Experience:
- Possess 2-3 years’ experience in nonprofit administration or program operations, or equivalent
- Comfortable with the use of technology and proficient with the Microsoft operating system (Word and Excel), Adobe, and G Suite (Gmail, Google Sheets, Docs, Drive, and Calendar)
Physical Requirements:
- Able to sit or stand at a desk and/or computer for a significant amount of the working day (80% of the time or greater)
Onboarding Requirements:
- Willing to authorize a federal or CA Live Scan background check upon hire (cost paid for or reimbursed by OBCA)
Bonus if you…
- Are familiar with cloud-based systems such as Bill.com, Expensify for A/P and expense tracking and Budgyt for budget building and tracking
- Have experience with accounting and finance procedures such as P&L review, scheduled maintenance (tracking of unearned revenue and restricted funds), and the annual audit and budget process
- Have experience with Paylocity as an HRIS system
Responsibilities:
Bookkeeping:
- Manage on-time close of monthly financials, in partnership with OBCA’s external accounting firm
- Ensure accurate recording of OBCA’s accounting data in QuickBooks Online
- Manage accounts payable and receivable on a timely basis, including making regular deposits on behalf of the organization and managing OBCA’s credit card account balance
- Coordinate OBCA’s annual audit, including document preparation, fieldwork, and vendor management
- Coordinate with staff on reporting and submission of monthly expense and reimbursement reports
- Partner with Outreach, Student Services, and Fundraising teams to invoice corporate sponsors, school and partner programs, students, and donors
- Act as a resource for staff on proper and consistent coding of expenses
- Provide timely reports and information to department leads and staff who manage complex budgets, and coordinate with department leads to reconcile their data with finance department reporting
- Support the design and delivery of staff training on finance- and expense-related processes during onboarding and as needed
Information Technology:
- Manage external IT vendor relationships and coordinate with staff to access IT support as needed
- Support internal IT needs, including coordination of hardware and software for for new staff, management of internal OBCA IT inventory, and phone system set up support database administration and contribute to data hygiene
Operations:
- Run semi-monthly payroll in coordination with program and HR teams
- Serve as the main point of contact and resource for staff for building- and office-related inquiries
- Manage cloud-based mailbox for organization distributing mail to appropriate department
- Lead and contribute to business operations such as government renewals and payments
Leadership & Risk Management:
- Uphold Outward Bound’s zero-tolerance policy for incidents of child abuse and neglect as protecting our minor students against abuse and neglect is of the highest priority
- Support in critical incident response which might require after work hours and could happen during scheduled time off
- Uphold community standards and liaise between community and administrative team
- Additional duties as assigned
