About CA Biodiversity: 

Adventure Scientists is partnering with the California Institute for Biodiversity (CIB) to support the exploration and documentation of insects, fungi, and soil biodiversity as part of an All Taxa Biodiversity Inventory that supports the California 30X30 Pathways Strategy to conserve 30% of the state of California by 2030. Volunteers will apply to participate in either soil eDNA sample collection, insect sweep net sample collection, or both. For soil, volunteers will collect paired soil samples from topsoil and subsoil across many ecoregions of California. For insects, volunteers will sweep areas with insect nets for a minimum of 20 minutes and collect insects in vials.

For insects, volunteers will sweep areas with insect nets for a minimum of 20 minutes and collect insects in vials. Volunteer events are key to mobilizing and training volunteers to collect data!

The Event Coordinator role will:

  • Create a minimum of 6 Field Days and minimum 12 Community Gatherings for volunteers throughout California from September 2024 – August 2025.
    • Field Days are training days to mobilize volunteers, collect samples in bulk, and celebrate volunteer efforts. (e.g. hosting a training session and guided hike through a CA state park).
    • Community Gatherings are events that aim to increase community, spread knowledge to the general public, and train interested volunteers, without the data collection component. (e.g. speaking at a wilderness summit, hosting an informational session at a public library, boothing at an outdoor festival).
  • Identify free/donated/affordable venues to host 30-40 folks, that can hold a training and celebratory event, considering factors such as accessibility and amenities.
    • Procure and organize necessary event materials/vendors, including catering, audiovisual equipment, signage, and decorations.
  • Create event RSVP signup communications, create “Know Before You Go” communications.
  • Oversee registration and attendee communication, ensuring a smooth and seamless experience for all participants.
  • Recruit and disseminate the opportunity to potential AS volunteers.
  • Manage onsite event logistics, including setup, breakdown, and on-site coordination of staff and volunteers.
  • Give live information and training sessions about the CA Biodiversity project onsite. 
  • Manage swag and prizes for participants at the event. 

The AS role will be to: 

  • Market and share the opportunity with volunteers in the AS community and beyond, and support recruitment efforts. 
  • Provide opportunities for partnership outreach for collaboration on these events. 

Requirements:

  • Must have personal vehicle available for use and valid driver’s license
  • Must have personal integrity and responsibility. Must prioritize the safety and enjoyment of volunteers and themselves.
  • Must be comfortable communicating in front of multiple audiences.
  • Must be motivated to help see the CA Biodiversity project be successful!
  • Previous experience with event coordination and volunteer engagement desired.

Compensation:

  • $30/hr for ~50 hours/month over 12 months =$1,500/month = $18,000 total
  • Additional travel stipend: $500 quarterly for gas and housing = $2,000 total
    • Total payment over the contract of up to $20,000

The Event Coordinator will report to the Senior Manager of Volunteer Recruitment and Community Engagement.
